How Billaily Works

From raw utility PDFs to prorated tenant statements in four steps.

Billaily automates the entire monthly utility rebilling cycle for apartment buildings—extracting meter readings, matching bills to doors, splitting mid-month lease changes, and tracking payments.

STEP 01

Add your buildings, apartments & lease dates

Enter your apartment units (Apt 101, Apt 102, etc.), current tenant names, and move-in/move-out dates. You don't need to manually type in meter serial numbers upfront—Billaily learns and binds each meter serial number to its apartment automatically as you upload invoices.

STEP 02

Upload utility PDFs or auto-forward emails

Drop utility PDFs (electricity, water, district heating, gas) into the dashboard or forward them to your dedicated portfolio inbox. Billaily extracts the supplier, meter serial, billing period, consumption units (kWh, m³, MWh), and total amount across 15 European languages.

What happens when a PDF has no apartment number? Instead of making you search through every apartment in the building, Billaily filters the assignment dropdown strictly to the apartments that are still missing that specific utility bill for that month. Once you assign it once, Billaily remembers that meter serial forever.
STEP 03

Mid-month proration & running balance ledger

If Tenant A moves out on October 15 and Tenant B moves in on October 18, Billaily automatically calculates each tenant's exact share based on calendar days (15/31 days vs. 14/31 days) and isolates the 2 vacant days to the landlord.

Prior unpaid arrears (+€149.00) and prior overpayment credits (−€34.50) roll forward automatically into the net balance due.

STEP 04

Share web statements & confirm payments

Send each tenant their unique statement link (/t/[token]) via email, SMS, or WhatsApp. Tenants can inspect the original utility provider PDF, verify their day-by-day proration calculation, and mark their balance paid.
